Keeping stock records

Know your stock.
Plan what comes next.

Record goods received, goods issued and quantities remaining so your records agree with the stock you hold.

Four practical steps.

Give each item its own record.

Record the item name, storage location and one consistent unit, such as kilograms or pieces. Start with an actual count.

Record each movement.

Note the date, quantity and supporting record for each movement. Distinguish sales, returns and damaged goods.

Compare with the physical stock.

At an agreed interval, count the goods again. Investigate differences before adjusting records, keeping the reason and reviewer’s name.

Plan replenishment.

Review fast-moving items, older stock and supplier delivery times. Plan purchases with the funds actually available.
