Keep a clear record.

Help your group keep discussions, agreed decisions and responsibilities together in one clear meeting record.

Four practical steps.

Set out the agenda.

Record the date, venue, attendees and discussion topics. Review outstanding actions from the previous meeting.

Separate proposals from decisions.

Keep unapproved proposals separate. For each decision, record what was agreed and how it was approved under your group’s own rules.

Assign each follow-up action.

Name the person responsible, the review date and the evidence they will bring back. Meeting notes alone do not create new account-signing authority.

Review and keep a copy.

Let members review the notes, correct inaccuracies and confirm the record through your usual process. Keep a secure copy accessible to those entitled to see it.
